Guidelines

Thank you for your interest in supporting HEARTH! Your efforts help us to provide a range of supportive services and housing that empowers homeless women with children, who are survivors of domestic violence or other trauma to become independent, self-sufficient, and adequately housed; to foster low income housing opportunities to prevent homelessness and encourage safe, affordable housing. We are very grateful to individuals and groups who hold events and donate the proceeds to HEARTH.

These guidelines are intended for organizations and individuals who want to offer a donation to HEARTH from the proceeds of a fundraising event, activity or a cause-related-marketing promotion. These events are operated outside the management of HEARTH. In order for the amount remitted to HEARTH to be considered a charitable contribution, certain guidelines and procedures must be followed.

  1. To begin the process, please fill out the Third Party Event Form and submit for review.
  2. HEARTH does not endorse any events that include telemarketing, door knocking, violent or dangerous activities, or the sale or promotion of tobacco products or illegal drugs.
  3. If another organization, in addition to HEARTH, will benefit from the fundraising event, we require notification in advance.
  4. A gift made through fundraising represents a gift to the entire HEARTH mission. We use your gift where it can do the best by pooling it with the gifts of others.
  5. To protect our donors’ confidentiality, HEARTH does not share its internal list of donors.
  6. HEARTH does not provide volunteers to run third party events. We cannot guarantee a representative for your event but may be able to send a representative if available if it is requested in advance.
  7. HEARTH will not supply funding to finance a third party event and will not be responsible for any debts incurred. The event organizer assumes all responsibility and risk for event expenses (including insurance coverage), permits and liabilities.
  8. HEARTH will not provide a tax receipt for the donation of goods or services to your event.
  9. HEARTH reserves the right to approve the use of our name and logo on all promotional materials, including items such as flyers, posters, websites, etc. All publicity and/or promotional materials released to the media referencing HEARTH’s involvement require advance approval from HEARTH.
  10. All advertising, promotional, and other event-specific materials should state that the event/activity will benefit HEARTH, but should not imply that HEARTH is the event sponsor or partner.
  11. When appropriate, we can utilize social media to promote your event. Please consult with us if you are interested in social media.
  12. If only a portion of the proceeds will go directly to HEARTH, the sponsoring organization must clearly disclose to purchasers or participants the approximate amount of dollars and/or percent of the proceeds that will go to HEARTH.
  13. Checks should be made out to and sent directly to HEARTH, PO Box 318, Glenshaw, PA 15116. Please write your event name in the memo field.

Event Organizer’s responsibilities:

  1. A Third Party Event Information Form must be submitted to determine if the event or activity is within HEARTH guidelines, and feasible within its existing calendar of activities. A new application must be submitted for each new event or activity.
  2. No action will be taken on any event until approval is received from the Executive Director and /or the Development Director.
  3. HEARTH will not supply funding to finance a third party event and will not be responsible for any debts incurred. The event organizer assumes all responsibility and risk for event expenses (including insurance coverage), permits and liabilities.
  4. All expenses associated with the event are the responsibility of the fundraiser of the event. Expenses should not exceed 20% of the gross revenue.
  5. The Organizer agrees that all donations will be given to HEARTH within 30 days from the event.
  6. The event organizer will notify HEARTH of the portion of donation, event ticket price or amount of proceeds (either the percentage or actual amount) that will be directed to HEARTH. This information must be made specific in event/campaign promotions. For example: 50% of profits, one-time donation of $1,000, or all proceeds.

HEARTH agrees to provide:

  1. A letter to verify your approval to fundraise on behalf of HEARTH with agreed upon terms for use of HEARTH staff, volunteers, mailing lists or general publicity among our supporters,
  1. Tax receipts for donors who make contributions and provide specific receipting information as directed by law.
  2. Listing of event on HEARTH website and social media pages.
